Weekly Assessments

The Weekly Assessments page allows Clerkship Directors to review and monitor all weekly assessment activity within their assigned discipline or rotation.

Weekly assessments are recurring evaluations completed throughout a student’s rotation to track ongoing clinical performance, participation, and progress.

The Weekly Assessments page provides visibility into:

  • Submitted weekly evaluations
  • Pending assessment activity
  • Workflow statuses
  • Preceptor participation
  • Submitted feedback
  • Assessment history


Accessing the Weekly Assessments Page

To access the Weekly Assessments page:

  1. Sign in to the Clerkship Director Portal.
  2. Select Assessments from the top navigation menu.
  3. Select Weekly Assessments.

The Weekly Assessments screen will open displaying all weekly assessment activity.


The Weekly Assessments page can also be accessed directly from the Weekly section on the main dashboard.


Understanding the Weekly Assessments Page

Assessments are grouped by student and displayed in expandable rows.

Each weekly assessment record may display:

  • Rotation
  • Course title
  • Preceptor information
  • Campus location
  • Assessment status
  • Available actions

Assessment Information

The assessment grid provides summary information for each weekly assessment.

Rotation

Displays the associated clerkship rotation or session.

Course Title

Displays the discipline or course associated with the assessment.

Preceptor Information

Displays the assigned preceptor details, including:

  • First Name
  • Last Name
  • Email Address

Campus Location

Displays the campus or clinical site associated with the assessment.

Status

Displays the current workflow status of the assessment.

Common statuses may include:

  • Completed
  • Pending Faculty
  • Created
  • In Progress

Actions

Displays available workflow actions for the assessment.

Available actions may include:

  • View Feedback
  • View Workflow History


Expanding Weekly Assessment Records

Assessment rows can be expanded to display additional details.

To expand a weekly assessment:

  1. Select the arrow icon beside the assessment row.
  2. The Assessment Request Details section will appear.

Expanded details may include:

  • Assessment Request ID
  • Session information
  • Assigned preceptor
  • Assessment creation date
  • Workflow action buttons


Assessment Request Details

Expanded assessment records display additional workflow information including:

  • Assessment Request ID
  • Session or rotation information
  • Assigned preceptor
  • Assessment creation date

This section provides additional visibility into the assessment workflow and submission history.


Viewing Workflow History

To review workflow activity for a weekly assessment:

  1. Expand the assessment record.
  2. Select View Workflow History.

Workflow history may include:

  • Assessment creation
  • Submission activity
  • Workflow progression
  • Status changes
  • Reviewer actions
  • Completion activity


Viewing Feedback

Completed weekly assessments provide access to submitted feedback.

To review assessment feedback:

  1. Locate the completed assessment.
  2. Select View Feedback.

The feedback view may include:

  • Submitted evaluation responses
  • Narrative comments
  • Competency feedback
  • Scoring information

Available feedback details may vary depending on institutional configuration.


Searching Weekly Assessments

Use the Search Weekly Assessments field to quickly locate assessment records.

The search can help locate:

  • Students
  • Rotations
  • Courses
  • Preceptors
  • Campus locations
  • Workflow statuses

As text is entered, the grid automatically filters matching results.


Grid Search and Column Filters

The Weekly Assessments page supports advanced searching and filtering within the assessment grid.

Filter icons are available throughout the grid, including:

  • Student
  • Rotation
  • Course Title
  • Preceptor information
  • Campus Location
  • Status

These filters help narrow large result sets and quickly locate specific assessment records.


Student Filter

The Student filter allows users to display assessments for specific students.

To apply a student filter:

  1. Select the Filter icon beside Student.
  2. Search for or select one or more students.
  3. Select Apply.

The assessment grid will refresh and display only records for the selected students.

This is useful when reviewing:

  • A single student’s weekly assessments
  • Student-specific workflow activity
  • Pending or completed evaluations


Column Filters

Additional column filters are available throughout the assessment grid.

Columns that may support filtering include:

  • Rotation
  • Course Title
  • Preceptor Name
  • Email
  • Campus Location
  • Status

To apply a column filter:

  1. Select the Filter icon within the desired column.
  2. Search for or select one or more filter values.
  3. Select Apply.

The grid will refresh and display matching records only.


Sorting Columns

Some columns support sorting.

To sort a column:

  1. Select the column header.
  2. The grid will sort in ascending or descending order.

Sorting may be available for:

  • Student names
  • Rotations
  • Course titles
  • Statuses
  • Campus locations

Expand and Collapse Options

The page supports expandable sections for easier navigation.

Expand All

Select Expand All to open all student and assessment sections.

Collapse All

Select Collapse All to minimize all expanded sections.

Individual Expansion

Use the arrow icons beside individual rows to expand or collapse specific records.


Refreshing the Weekly Assessment List

Select Refresh to reload the latest weekly assessment activity.

Refreshing the page may update:

  • Assessment statuses
  • Submitted evaluations
  • Workflow activity
  • Feedback completion


Monitoring Weekly Assessment Activity

The Weekly Assessments page helps Clerkship Directors:

  • Monitor recurring student evaluations
  • Review submitted feedback
